Filter & Email notifications

The Advanced search function can be used to set specific criteria to view orders and invoices.

Following are the steps to perform an advanced search.

 

1. Click Order or Invoice tab.

2. Click Advanced search link.

3. Select field and criteria from the drop down menu.

4. Click Add filter button to add the filters.

5. Click Remove link to remove the filters.

6. Click Apply button to apply the changes and to view search results according to the added filter.

Save View

The Save View functionality can be used to create customized views which will be saved under My Saved Views for Orders and Invoices. Customized views can be saved by using the advanced search functionality.

Following are the steps to perform advanced search by adding filters and saving a view.

1. Click Order or Invoice tab.

2. Click Advanced search link.

3. Select field and criteria from the drop down list.

4. Click Add filter button to add the filters.

5. Click Remove link to remove the filters.

6. Click Apply button to apply the changes

7. Click Save View button to save changes as a new view.
8. Enter the View Name, select Notify me via email check box (optional) and click Save button.

Email Notification

An email notification option can be enabled to receive notifications on the status change of any Order or Invoice.
Select the Notify me via email check box to enable email notification when saving a view.

The notification of status change is sent for any Order or Invoice in the saved view.

To enable email notification option, the saved view must contain a combination of following filters:

• Customer

• Zip Code

NOTE: Notification is allowed for a maximum of 3 views created for Order or Invoice.

The conditions that trigger an email for the filters in an Order or Invoice are as follows:

Customer: Incoming Orders or Change Orders that contain names according to the added filter.

Zip Code: Incoming Orders or Change Orders that contain Zip Codes which begin with or between the entered filter.

 

If notifications are set to OFF in User Settings, notification emails will be sent only for the cases which fulfill view criteria.

If notifications are set to ON in User Settings, notification emails will be sent according to the selection in User Settings.

After saving the view with email notification, open the saved view and remove the selection in the Notify me via email check box to disable this feature.

NOTE: Email notification is sent to the email address saved in the IBX On-demand Platform user portal.
